Moving From GoHighLevel to Seedly CRM: A Practical Checklist
Export, clean, import, rebuild, cut over. A step-by-step plan for moving an agency off GoHighLevel and onto Seedly CRM without losing contacts or clients.
The hardest part of leaving any CRM is starting. Here’s the plan we’d follow, in the order we’d follow it.
Before you touch anything
- Install Seedly first. Run it next to GoHighLevel for a couple of weeks. Don’t cancel anything yet.
- Start A2P registration on day one. US texting needs carrier approval (1 to 7 days), and you want it done before cutover.
- List what you actually use. Most agencies use a fraction of GoHighLevel. Write down the workflows, pipelines, calendars and forms that matter. That’s your rebuild list.
Step 1: Build your template sub-account
Set up one sub-account the way you want every client to start: pipelines, tags, email templates, lists, products and workflows. Seedly’s workflow builder has 78 node types and 68 triggers, so most GoHighLevel automations translate directly. Use the move as a chance to drop the automations nobody remembers building.
Then mark it as your snapshot. Every new client sub-account can be cloned from it.
Step 2: Export contacts from GoHighLevel
Export each client’s contacts to CSV. Before importing, clean the file. This step decides whether the import goes smoothly:
- Trim whitespace in headers and cells
- Normalize phone numbers to
+15551234567format - Lowercase emails
- Remove duplicate rows in the CSV itself
- Save as CSV UTF-8, or accented names will break
Step 3: Import
In each sub-account go to Contacts → Import and drop in the CSV. Seedly’s importer:
- recognizes common headers automatically (email, phone, first/last name, company, address, tags, source, notes)
- asks what to do with every other column: map it to a custom field, skip it, or fold it into notes
- deduplicates against contacts already in the CRM
- respects your suppression list, so people who unsubscribed stay unsubscribed
Files up to 10,000 rows import in one go. Split larger lists into 10k chunks.
Then bring your opportunities across
Import contacts first, then your deals. Since version 5.8.5, Seedly has a guided GoHighLevel opportunities import: export opportunities from GoHighLevel, and the import recreates them with pipeline, stage, value and history intact, matched to the contacts you just imported. It’s built for migrations:
- it fires no automations, so your back catalogue doesn’t look like hundreds of new leads arriving at once
- it keeps the original created and updated dates
- it never subscribes anyone to email on its own
- a half-finished run is safe to finish by running it again

Heads up: Seedly’s support covers the importer, but not custom field mapping for every source platform. Take the time on the preview screen to map GoHighLevel’s custom fields yourself.
Step 4: Rebrand and reconnect
- Give each client brand its logo, colors and, if you like, a branded login domain
- Connect calendars (Google, Outlook), Meta for Messenger and Instagram, and Google Business Profile for reviews
- Connect Stripe and set each client’s plan and markup
Step 5: Move phone numbers
You can buy new numbers in Seedly’s dashboard or port existing ones into your own Twilio account. Porting keeps the numbers your clients’ customers already know. Do it per client, during a quiet window.
Step 6: Cut over, then cancel
Switch forms and booking links on client websites to the Seedly versions, run both systems in parallel for a week, then cancel GoHighLevel. That last click is the one that starts the savings.
